San Clemente Little League

This is the snack bar shift schedule for San Clemente Little League. It is run by league volunteers, it holds as little as it can get away with, and none of it is sold or shared outside the league.

What we hold

For each adult on a family in the league:

What we do not hold

No children’s names. The schedule works from teams and adults, so no player’s name is ever imported or stored — only the team a family follows. There are also no dates of birth, no home addresses, no payment details, and no passwords, because there are no passwords to have.

Where it came from

From the league’s own registration roster for the season, which a board volunteer imports. There is no public sign-up: nobody outside the league can add themselves. The one exception is inside a family — a parent on the roster can add the other adults in their own household, such as a spouse, and the board can see who added whom and remove anyone added by mistake. If something is wrong, it is wrong on the roster — tell your team parent or write to us and we will fix both.

What we use it for

Running the snack bar schedule, and nothing else. Signing you in, showing your team’s days, recording who took which shift, reminding people before their shift, and telling the board which teams are still short.

Who can see it

Every one of those checks is made on the server on each request. We do not rely on simply not showing somebody a link.

Email

Everything this app can send, and whether you can switch it off:

MessageWhen it arrivesCan you turn it off?
Your sign-in linkWhen you ask to sign in. The link works on any of your devices for 30 minutes.Keeps sending
Welcome to the scheduleOnce, when you are added — by another adult in your household or by the board — so you know who added you and why you are hearing from us, with your own link to sign in.Keeps sending
Shift confirmationWhen you take a shift or give one back, or the board puts you on or takes you off one — to both parents on the family, so nobody has to ring the other one to check.Keeps sending
Shift reminderTwo days before your shift, so there is still time to hand it back if something has come up.Keeps sending
Shift canceledIf a shift you are on is called off — rain, usually — and again if it goes back on. You keep the credit for a canceled shift. It goes to everyone in your household, so nobody drives to an empty field.Keeps sending
Team parent updatesOnly if you coordinate a team: a welcome when you are made its team parent, explaining what that involves; then when one of your families signs up, when a slot opens back up, when one of your team’s shifts is canceled or back on, and a summary a week out if seats are still empty.Keeps sending
Weekly team round-upThursdays, and only while your team still has shifts nobody has taken and your family has not taken one yet — or when your team parent asks for help with the open ones. It stops for the whole team the moment the team is covered.Yes, one click
A note about the snack barOccasionally, when the board needs to tell families something about snack bar duty — opening day, a change of hours, where to collect the key. This app is not used for league announcements generally.Yes, one click

In short: sign-in links, confirmations and reminders for shifts you took keep sending, because each one answers something you did yourself and silencing them leaves a Saturday uncovered. The weekly team round-up, and the occasional note from the board about snack bar duty, are optional — they carry an unsubscribe link in every copy and stop immediately when you use it. This app is not used for league announcements generally; it covers the snack bar and nothing else.

Email goes to every adult on a family. If your address permanently bounces or you report a message as spam, we stop mailing you and leave the rest of your household alone.

We do not send text messages. The league holds a mobile number for most families so that a team parent can ring you about a gap on your team’s day, and that is the only thing it is used for. Nothing on this site texts anybody automatically.

Cookies

One cookie, set when you sign in, so the site knows it is still you on the next page. It is removed when you sign out. There is no analytics, no advertising, and no third-party tracker of any kind on this site — which is why you were not asked to accept anything.

Who else touches it

Three suppliers, each doing one job, none of them permitted to use any of it for their own purposes:

Nothing is sold, rented, traded, or handed to advertisers. Nothing goes to another league or organisation.

Keeping it safe

There are no passwords to steal. A sign-in link is stored only as a one-way hash. One you ask for works for 30 minutes; one inside an email we send you works for a week, on as many of your devices as you like, so the email still works when you get round to reading it. The same email carries a six-digit code, for signing in to the app on your home screen, which a tapped link cannot reach: it lasts fifteen minutes, is stored as a hash too, and dies after five wrong guesses. Sessions are invalidated if the account behind them changes. Personal information is kept out of logs and error messages on purpose, so that a screenshot of something going wrong never contains somebody’s phone number.

How long we keep it

Through the season, and between seasons so that the following year’s roster import has something to match against rather than starting from a blank sheet. Families no longer registered with the league are deactivated and stop receiving anything. Ask us to delete your details outright and we will.

What you can ask for

To see what we hold about you, to have it corrected, to stop the optional messages, or to be removed altogether. Write to ted.trapp@sclittleleague.com and a league volunteer will deal with it.

Children

This site is for the adults on a league family. It is not intended for children, and no account is ever created for one.

Changes

If this changes, the date at the top changes with it. Anything that affects what we send you will be said in an email, not buried here.
